YOUR RESPONSABILITIES
Operations Management
- You will be responsible for day-to-day secretarial duties (telephone, emails, receiving visitors);
- You support the shopping manager and facility manager, such as management of agendas, organisation and follow-up of team meetings, organisation of and participation in various meetings and drafting of reports & follow-ups, insurance cases,…
- Working in tandem with the Shopping Centre Manager, you will be the first point of contact for tenants and will be responsible for their administrative management (written communications, database management, etc)
- You will work on and follow up various projects in cooperation with facility manager, shopping manager and marketing manager, such as contacts with suppliers, budget analyses, analysis of visitor numbers, etc...
- You will update SharePoint and keep track of the various documents on it
- You will be responsible for checking and processing purchase invoices
- You will manage the office supply;
- You will be present in the Shopping Center and will be on duty at weekends on a rota basis with the other members of the team;
- You report any issues to the Shopping Center Manager;
- You will have an excellent knowledge of the Shopping Center, its partners and tenants.
Specialty Leasing and The Point
- You will be responsible for prospecting, drafting and managing temporary contracts, invoicing and meeting targets for pop-up sales and temporary rentals
- You will ensure that temporary stands meet Shopping's visual merchandising requirements;
- You will assess the commercial mix and identify potential concepts to strengthen it;
- You will be responsible for organising the Christmas market and eco-days;
- You will manage the services offered at The Point, and have a clear view of contracts and objectives;
- You will coordinate and play an active role in prospecting for new services and products to offer our customers;
- You will be responsible for the financial and operational management of The Point;
- You will be responsible for the planning, training and day-to-day coaching of The Point's employees;
- You will be the back-up if The Point hosts are absent.
- You will be the back-up in the event of the absence of the Point employee who is on duty at the shopping centre (including weekends).

- You have a higher education degree or equivalent through experience or you have a minimum of 5 years' work experience;
- You mother language is Dutch and you have a basic knowledge of French and English;
- You have a good knowledge of MS-Office programmes (Word, Excel, PowerPoint, Access and Outlook), a good command of SharePoint is a plus;
- You have some affinity with technical matters & contracts;
- You have a professional appearance. In addition, you are dynamic, an excellent organiser and an independent worker;
- You are proactive and are looking for opportunities to assist the Shopping Center Manager;
- You have good communication skills and work punctually, accurately and you are stress-resistant;
- You are an administrative jack-of-all-trades and enjoy working with numbers;
- You are a team player;
- You do not have a 9-to-5 mentality and Saturday work does not scare you off.
